Overview

The Sales Assistant will provide support in sales administration, generate orders and sales-related reports, and act as an overall extension of the sales team. The ideal candidate is team-oriented and able to multi-task many different responsibilities and assignments. S/he must possess strong communication, organizational, and independent strategic-thinking skills and must be able to adapt in a fast-paced environment.
Responsibilities

Act as an extension of the sales team by assisting sales lead development, sales materials & presentations, proposals & recaps, etc.
Provide ad ops support including campaign monitoring, creative quality control and post-campaign reporting
Generate contracts, order confirmations and reports related to the sales team’s activities
Ensure order constraints and expectations are clearly communicated to necessary teams
Provide administrative and/or process support for contract administration and order history/reporting on a regular, consistent basis
Support campaign activation to ensure all platforms deliver according to order specifications
Respond promptly to client requests, e.g., spot times, creative specs.
Assist with the scheduling coordination of last-minute orders/revisions
Help with special projects
Collaborate effectively with account managers, production team, finance team and external partners
Review current processes and modify as needed for improvement

Qualifications

Manages time; focuses on urgent and important tasks; avoids procrastination; follows up; meets deadlines
Extreme attention to detail
Adapts to shifts in priorities and urgencies
Proficient in Microsoft Office Suite, particularly Excel
Assumes responsibility & accountability for assignments and tasks
Comfortable communicating directly with clients either over email or on the phone
Exhibits good interpersonal skills; collaborates with others; maintains composure when faced with difficult situations and personalities
Must possess ability to work together with a team and also work independently

Work Experience

College graduate to 1-2 years of related experience, preference for media, marketing or agency background
