Overview

The Orchestra Personnel Manager is responsible for the human resource management of orchestra personnel, including overseeing application of the Master Agreement Between Artis-Naples and the Musicians of the Naples Philharmonic, preparing payroll, scheduling Naples Philharmonic core musicians, hiring per-service substitute and extra musicians, coordinating auditions, addressing musician personnel issues and serving as liaison between musicians and the Music Director, guest artists and administrative staff. This position serves as an integral member of the Artistic Operations team, contributing to the creation of exceptional symphonic music presentations and patron experiences.

Essential Duties & Responsibilities (other duties may be assigned)

Ensure that all Naples Philharmonic activities are executed in compliance with the Master Agreement
Develop and manage all budgets related to orchestra personnel
Prepare musician payroll and ensure timely resolution of any concerns
Issue individual musician contracts, calculating salary and seniority increases each year
Distribute and collect contracts by appropriate deadlines
Manage tenure review process
Maintain personnel records and provide appropriate information to HR
Produce season calendar and weekly orchestra schedule
Distribute information regarding rehearsal orders, service locations, instrumentation and dress
Prepare musician rosters and hire needed substitute and extra musicians
Communicate information about orchestra personnel to music library and stage crew
Administer leave requests from musicians
Maintain system for tracking attendance, leave, rotation and performance assignments
Manage all auditions for open positions; prepare national advertisements, compile audition requirements, coordinate candidate registration and oversee audition process
Manage orchestra rehearsals and concerts, including timekeeping of services relating to start and end times and intermissions; ensure proper working conditions for the musicians
Facilitate communications between artistic leadership, CEO and President, Executive Vice President, Players Committee and individual musicians
Post, distribute and announce information and changes as they occur
Be available to musicians and staff, responding to voicemail and email in a timely manner
Ensure proper handling of orchestra disciplinary issues in compliance with the Master Agreement and in coordination with the President and CEO, artistic leadership and Executive Vice President
Work with touring Broadway productions and other Artis-Naples presentations to contract local musicians as needed
Perform other duties as requested, assigned or needed
Observe safety requirements. Report safety issues and items requiring work orders to Safety & Security.
Work effectively with all Artis—Naples team members.
Education/Experience
Bachelor’s degree in music with a minimum of three years’ experience in orchestra personnel management.
The applicant shall demonstrate superior communication, management and interpersonal skills. Must be highly self-motivated with great attention to detail. Must possess strong personal integrity with the ability to handle sensitive and confidential information.
Must have a positive attitude, be able to work on a high-functioning team, possess a passion for symphonic music and an understanding of and sensitivity to the needs of orchestra musicians, guest artists and conductors.
Proficient use of Microsoft Office.
Familiarity with venue scheduling software a plus (ArtsVision).
The applicant shall be willing and able to work a flexible schedule that will include long workdays, early mornings, late nights, weekends and holidays.
